Registration Desk is located on the 1st floor of the conference center. The conference center is the
closest facility of PACIFICO Yokohama from Minatomirai Station. Please pick up your Badge at the
registration desk. To avoid waiting in line on the first day of the conference, you are strongly encouraged to collect your Badge on May 12th (Sunday). Make sure to wear your badge at all
times.

The ICRA2024 Organizing Committee strongly recommends that you join both IEEE and RAS before registering for the conference to benefit from the reduced conference registration fee for IEEE RAS members. Additionally, you will also receive further services provided by the Membership Activities Board (MAB) of IEEE RAS.

Your conference registration fee includes access to all content including Exhibition and Competition areas, Interactive Poster Sessions, ICRA EXPO and Robot Demo, Job Fair from 13th May – 17th May 2024, a ticket to the social events such as the Welcome Reception, Banquet, and Farewell Party, coffee breaks, and lunch on conference days, and a copy of the electronic proceedings.

Day registration is applicable only for 14th, 15th, and 16th May. It includes access to Sessions of the day, Exhibition and Competition areas, Interactive Poster Sessions, ICRA EXPO and Robot Demo, Job Fair, coffee breaks and lunch on conference days, and a copy of the electronic proceedings. If you wish to attend the social events, you can buy a ticket at JPY 8,000 each for the Welcome Reception on 13th May and/or the Farewell Party on 16th May and JPY15,000 for the Banquet on 15th May through the registration site.

The conference fees above DO NOT include access to the Workshops and Tutorials taking place on 13th May and 17th May 2024, and Technical Tours.

Registration for Authors

All presenting authors must be registered by 6th March 2024 (23:59 PST). Any authors who have not registered by 6th March 2024 or have papers exceeding the (6+n) page limit (excluding accepted RA-L, TRO, and RAM papers) in the final submitted paper version, will have their paper removed from the programme and the proceedings.

In order to submit the final paper or video submission at least one author of each paper must register in advance. Authors who pay a non-student registration fee are allowed to upload up to 2 contributions and all other registrations are limited to one paper upload. Additional papers can be uploaded for a fee of 40,000 JPY/paper. Papers that do not respect the (6+n) page limit (excludes accepted RA-L, TRO, and RAM papers) in the final submitted paper version will be removed from the program and the proceedings. No exceptions will be made. One regular registration can be used to upload no more than two papers and all associated attachments. If you are an author or co-author of a single contribution, your registration cannot be shared or used for uploading a paper for which you are not an author. One student registration can be used for upload of only one paper.

Full registration includes submissions for up to two items from these categories: paper, late-breaking submission, ICRA Expo, stand-alone video. Student registration includes one submission of the same categories.

Banquet Venue Options on 15th May, 2024

Those who registered the conference can choose a banquet venue on 15th May.

To accommodate the expected large number of participants, the banquet will be held across 4 venues. Priority will be given to early applicants in assigning banquet venues. However, please note that depending on circumstances, you may be assigned to a different banquet venue than the one you request. Those who purchase Additional Banquet ticket will automatically be assigned to the same venue as yourself.

The pre-recorded presentation videos of the technical sessions will be available on an on-demand basis (for one month since the beginning of the Conference).

If none of the authors of a paper is on the site, the pre-recorded presentation video of the paper is shown to the audience at the site for interactive poster sessions. All the Q&As for the video presentations in the oral and the interactive poster sessions are expected to be done through a virtual platform (off the session).

Visa Invitation Letters

Visa invitation letters will only be issued once registration is completed and paid.

To request a visa invitation letter, please check “Request a VISA” at the registration site.

ICRA2024 Organizing Committee will support you in providing documents for visa application to participate in the academic conference. The support period will be from May 11th to May 18th. For travel during other periods, please complete all the procedures yourself.

All visa requests must be submitted by the 11th April 2024.

Please note the visa invitation letter does not exempt attendees from complying with all requirements regarding registration and payment for their participation, accommodation and travel. The ICRA Event Organisers take no responsibility should entry be denied by the Japanese Government.

Any cancellations due to Visa refusal will be refunded according to the cancellation policy.

Cancellation Policy

All refund requests must be made via email to icra2024-registration@congre.co.jp.

All cancellations received before 1st April 2024 (23:59 PST) will be subject to a JPY5,000 cancellation fee.

Refunds for cancellations received after 1st April, 2024 (23:59 PST) will only be made in exceptional circumstances.

In the event of unforeseen circumstances, the Organising Committee and the Conference Organisers do not accept responsibility for loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. Are child care services available at the venue?

Yes, it will be available at the venue. More information will be provided at a later date.

Does Pacifico Yokohama have a nursing room?

Yes, Baby Lounge is located on 2F of the Exhibition Hall and equipped with 3 nursing rooms, 3 baby beds, and hot water-supply equipment/sink.
Baby Lounge is reserved for women; there are men’s bathrooms with baby beds for diaper change.

Does Pacifico Yokohama have a prayer room?

Yes, there is a dedicated prayer room on the 2nd floor of North. Prayer mats and compasses are available for Muslims.

I need to update my registration details.

You can confirm and modify your registration details during the registration period by signing in to Your Account with your ID and Password.

Can I pay via an invoice or bank transfer?

Unfortunately, we are unable to accept any alternative payment methods. All payments must be made by credit card.

I need a copy of my receipt.

Should you require to download your receipt, please log in to your account and click “Receipt” on the bottom right side in the “Your Registration Details”.
Please enter your name or the name of the organization/VAT information that should be printed on the receipt and click the “Receipt” button to print it.

I haven’t received my confirmation email.

The confirmation email is automatically sent out once your account for ICRA2024 is created. Your ID and Password information is in the email.
Please make a note of them as you will need them for all future communications with us.
Please note that your registration will not be completed until payment has been received and confirmed by the ICRA 2024 Registration Team. Please look through your spam/junk folder to ensure that the email has not been filtered to spam. If you have not received your confirmation email within a few hours of your registration, please let us know.

I need a VISA Invitation Letter to attend ICRA 2024.

After completing your registration, your ID and Password to log in to the “My Page” is sent to your registered email. You can request the visa documents by entering your information through “Visa Application” in “Registration Information”.
Once you have filled in the required information, you will receive your Login ID and Password to download the visa documents. It will take 5 working days to complete the documents.

I have an accepted paper, do I need to attend in person?

You can attend online. But you are requested to make an online presentation and participate in the Q&A session at the assigned session.
For the case, you are required to register the conference by the category “Advanced (with paper)” for Online Participation, by 6th March 2024.

What is your cancellation policy?

All refund requests must be made via email to icra2024-registration@congre.co.jp.
All cancellations received before 1st April 2024 (23:59 PST) will be subject to a JPY 5,000 cancellation fee.
Refunds for cancellations received after 1st April, 2024 (23:59 PST) will only be made in exceptional circumstances. Any cancellations due to visa requests being denied will be refunded based on the cancellation terms above.
